Effective date: September 26, 2026
VantaHR, LLC (“VantaHR,” “we,” “us”), a Delaware limited liability company headquartered in Dover, Delaware and registered to do business in California, respects your privacy. This policy explains what information we collect through www.vantahr.com (the “Site”), how we use it, and the choices you have. It covers the Site only. Information you share during a client engagement is governed by that engagement’s agreement and its confidentiality terms.
Information we collect
- Information you give us. When you use our contact or consultation request form, or email us, we collect your name, company, email address, the service you’re interested in, and anything you choose to include in your message.
- Information collected automatically. Like most websites, our hosting provider may record basic technical data such as your IP address, browser type, and pages visited. The Site loads fonts from Google Fonts, which receives your IP address when the page loads. We do not currently use advertising cookies or analytics tracking.
Please don’t send confidential or sensitive information (such as details of a workplace complaint, health information, or names of employees involved in a matter) through the Site or in a first email. We’ll discuss those details only after an engagement agreement is in place.
How we use information
- To respond to your inquiry and schedule consultations
- To provide the services you request and send related communications
- To operate, secure, and improve the Site
- To meet legal and professional obligations, including checking for conflicts of interest before an engagement
We do not sell or rent personal information, and we do not share it for cross-context behavioral advertising.
How we share information
We share information only with:
- Service providers that help us run our business, such as website hosting, email, scheduling, and payment processing, who may use it only to provide those services to us
- Professional advisors, such as attorneys and accountants, under duties of confidentiality
- Authorities, when required by law, subpoena, or to protect the rights or safety of any person
- A successor business, if VantaHR is involved in a merger or sale, subject to this policy
How long we keep information
We keep inquiry information for up to 24 months if no engagement follows, then delete it. Client records are kept as required by our engagement agreements, professional obligations, and law.
How we protect information
We use reasonable administrative, technical, and physical safeguards, including access-restricted storage. No method of transmission or storage is completely secure, so we can’t guarantee absolute security.
Your choices and rights
You may ask us to tell you what personal information we hold about you, correct it, or delete it, and you may opt out of any marketing emails at any time. Email admin@vantahr.com with “Privacy request” in the subject line. We’ll respond within 45 days and won’t treat you differently for making a request. Depending on where you live, you may have additional rights under state law; we’ll honor them as required.
Do Not Track: The Site does not track visitors across other websites, so it does not respond differently to browser Do Not Track signals.
Children
The Site is intended for adults. We do not knowingly collect personal information from anyone under 16. If you believe a child has sent us information, contact us and we’ll delete it.
Links to other sites
The Site may link to websites we don’t control. Their privacy practices are their own.
Changes to this policy
We may update this policy from time to time. We’ll post the new version here with a new effective date. Material changes will be highlighted on the Site.
